Registration Policies

1 – REGISTRATION

Registration for any HOT event (e.g., face-to-face course, webinar, virtual instructor-led training (VILT), e-learning, conferences, summit) can be done

Registrations will be treated on a 'first come - first served' basis. HOT reserves the right to review and decline any registration at its own discretion.

2 – JOINING INSTRUCTIONS

2.1: Face-to-Face Training

Upon receipt of registration, an 'Acknowledgement of Enrolment' will be sent by email. ‘Final Confirmation’ of training will be sent approximately three (3) weeks prior to training start. Please read these instructions carefully, as final details of training location, training hours and other relevant information related to the event will be communicated.

HOT training events are held at top quality hotels with excellent meeting facilities. HOT does NOT make any travel or accommodation arrangements for participants. Unless otherwise stated, class hours for public courses are from 8:30 am to 4:30 pm, including breaks. Please consult our ‘Final Confirmation’ email for the actual schedule. All HOT training events are presented in English language, unless explicitly stated otherwise.

Please note: Neither HOT, nor instructors, field trip leaders or assistants provide insurance covering illness or injury for individuals.

2.2: Live online training events (Virtual Instructor-Led Training (VILT), webinars)

Upon receipt of registration, an 'Acknowledgement of Enrolment' will be sent by email.
Advance payment is required to access any HOT digital training event. Upon receipt of payment, participants will receive joining instructions (e.g., login details, access to course material, etc.) HOT reserves the right to refuse admission to the digital training event, if payment has not been received.

2.3: E-learning courses and digital library

HOT E-learning courses and the digital library are powered by Baobab Learning Management System (Baobab LMS). A Baobab account and paid subscription is required. E-learning courses and library content are available 24/7 and access is limited to the selected subscription. Advanced payment is required to receive access to the relevant educational material.

Login details are private and confidential and it is strictly prohibited to share them with other users. If you know or suspect that someone other than you knows your username or password, please notify HOT immediately at training@hoteng.com.

3 – REGISTRATION DEADLINES

3.1: Face-to-Face Training

As an internationally operating training organisation, HOT would appreciate receiving registrations for face-to-face training at least one (1) month prior to training start. Registrations after this date will be subject to availability. We strongly recommend early enrolment to avoid disappointment.

3.2: Live online training events (Virtual Instructor-Led Training (VILT), webinars)

Registrations for webinars and virtual instructor-led training (VILT) are accepted until two (2) working days prior to training start. Registrations after this date will be subject to availability.

3.3: E-learning courses

HOT E-learning courses are available anytime. Registration can be done 24/7.

4 – TECHNICAL REQUIREMENTS FOR ONLINE TRAINING

The technical requirements to participate in online training (virtual instructor-led training (VILT), webinar or e-learning) are as follows:

  • Computer or Laptop
  • Headset or audio system with microphone
  • Camera
  • Access to High-Speed Internet
  • Minimum bandwidth of 5 Mbps for download, test here: https://www.speedtest.net/
  • Unlimited Data Volume
  • MS Office Package (Word, Excel, PowerPoint) – English version
  • Internet Browser: Google Chrome, Mozilla Firefox or Microsoft Edge are preferred; Internet Explorer is not recommended.

Responsibility for the technical setup to access any HOT online training lies with the user. This includes amongst others the use of virus protection software. HOT will not be liable for any loss or damage caused by malware, distributed denial-of-service attack, or other technologically harmful material that may infect the user’s computer equipment, computer programs, data or other proprietary material due to the use of e-learning / VILT platforms or the download of any content from these platforms. Although HOT is committed to providing uninterrupted access to e-learning platforms and VILT environments, HOT will not be liable if, for any reason, a platform is unavailable at any time or for any period of time.

5 – PAYMENT TERMS

All prices and fees quoted are exclusive of any taxes or levies (e.g. VAT, Withholding Tax, etc.) and are due and payable in the currency indicated on the HOT website and/or invoice. Taxes and levies will be added if applicable due to government regulations

5.1: Face-to-Face Training

Training fees and computer fees (if applicable) are due and payable upon receipt of invoice and prior to training start. Training fees include tuition, course material, refreshments and lunch per session day, and a 100 EURO non-refundable registration fee.
Training fees do NOT include accommodation or living costs.

Some courses require the use of computers for practical exercises. Computer fees are charged in addition to regular course fees and applicable taxes will be added. Depending on course duration and location, computer fees may vary.

5.2: Live online training events (virtual instructor-led training (VILT), webinars)

Fees for any online training event are due and payable upon receipt of invoice and prior to training start. Training fees include tuition, course material, and a 100 EURO non-refundable registration fee.

5.3: E-learning courses and digital library

Payment for e-learning courses and the digital library are due and payable immediately upon registration. A user licence will only be issued after receipt of payment.

6 – DISCOUNTS

‘Early Bird’ registrations require full payment at time of registration and before the cut-off date to qualify for the discount. Other discounted fees offered by HOT (e.g. group discounts) also require full payment at the time of registration. Discounted offers cannot be combined with any other discounts.

7 – CANCELLATIONS, SUBSTITUTIONS, TRANSFERS AND REFUNDS

Registrations for any HOT event are considered legally binding. HOT allows and accepts cancellations, substitutions, transfers and refunds, if notification is received in writing at training@hoteng.com, under the following conditions:

7.1: Face-to-Face Training

Cancellation:

  • Cancellations received more than 30 days prior to course commencement will be charged at 100 EURO (non-refundable registration fee).
  • Cancellations received less than 30 days prior to course commencement will be charged at 100% of the total course cost.
  • If a participant fails to attend the course without prior notification (no-show), the full course cost is due and payable. No refund can be claimed.

Responsibility for visas and other travel documents lies with the participant(s). No refunds will be given if visas are not obtained in due time.

Substitution: Replacements of participants for the same HOT public course are always welcome and do not incur any additional costs. Substitutions must be reported in writing to training@hoteng.com at least 5 days prior to course commencement.

Transfer of Registration: A paid enrolment may be transferred to another HOT public course if written notice has been received more than 30 days prior to course commencement. There are no transfer fees, however differences in course costs will be due and payable. Such credit must be used within 24 months.

7.2: Live online training events (Virtual Instructor-Led Training (VILT), webinars)

Cancellation:

  • Cancellations received more than 15 days prior to online training commencement will be charged at 100 EURO (non-refundable registration fee).
  • Cancellations received less than 15 days prior to online training commencement will be charged at 100% of the total training fees.
  • If a participant fails to attend the online training or webinar without prior notification, the full training fees are due and payable. No refund can be claimed.

Substitution: Replacements of participants for the same HOT online training/webinar are always welcome and do not incur any additional costs. Substitutions must be reported in writing to training@hoteng.com at least 2 days prior to online training/webinar commencement.

Transfer of Registration: A paid enrolment may be transferred to another HOT public course or webinar, if written notice has been received more than 15 days prior to course commencement. There are no transfer fees, however differences in course costs will be due and payable. Such credit must be used within 24 months.

7.3: E-learning courses and digital library

For E-learning subscriptions via the HOT and the Baobab LMS website the terms and conditions of the Baobab LMS website are applicable. Please visit https://www.baobablms.com/terms-and-conditions

7.4: Changes / Cancellations by HOT

Cancellation / Postponement of Course by HOT: HOT reserves the right to cancel or postpone a public course at any time. This decision will be made approximately two (2) weeks prior to the course starting date and written notification will be sent to all registered participants. Payments already received will be fully refunded or – on request – transferred as deposit to another HOT public course. Differences in course fees will be due and payable.

Please keep our registration and cancellation policies in mind when making your travel arrangements as HOT cannot accept liability for any costs arising from cancellation or change of travel arrangements, hotel reservations, or losses incurred by the customer due to changes in venue, date, content, trainer or postponement of any course.

Responsibility for visas and other travel documents lies with the participant(s). No refunds will be given if visas are not obtained in due time.

Instructor Substitution: HOT reserves the right to substitute an instructor as deemed necessary.

HOT is not liable for any delay or non-performance due to governmental regulations, strikes, hostile actions, weather, epidemics or pandemics or any other causes beyond HOT’s reasonable control (any and all of which causes are referred to as ‘Force Majeure’), as well as illness, accident or death.

8 – INTELLECTUAL PROPERTY & COPYRIGHT

All HOT training material, papers or documentation related to any HOT event (e.g. face-to-face training, VILT, webinars, e-learning incl. Baobab LMS courses & contents, conferences, summits etc.) are exclusively owned by HOT/Baobab/Instructors and any unauthorised duplication, publication or distribution is strictly prohibited. It is strictly prohibited to make any audio or video recordings of any kind of training, whether partial or complete. It is also strictly prohibited to use any devices, programs or other means to circumvent or breach these terms. Company logos, watermarks, copyright notices and other features identifying HOT as the usage rights provider or as the author may not be removed or changed.

9 – JURISDICTION

Any agreements and/or contracts with HOT shall be construed and governed in accordance with the laws of Austria and the parties submit to the exclusive jurisdiction of the Austrian Courts.
